The community center located at 300 Duckweed Drive is available for private reservations by residents in good standing. The facility is ideal for small gatherings, meetings, celebrations, and community events. Reservations are granted on a first-come, first-served basis and are subject to availability, Association rules, and approval requirements. Residents reserving the clubhouse are responsible for ensuring the facility is left clean and undamaged following use, and all guests must comply with community rules and amenity policies. Additional fees, deposits, insurance requirements, and rental restrictions may apply.

Mirror Lake Community Center – Rules & Regulations

The following rules apply to all renters and guests using the Mirror Lake Community Center. By signing the rental agreement, the renter acknowledges and agrees to abide by these rules.

Rules & Regulations(Required)

Access and Time Limits: Access to the facility is limited to the hours stated in the rental agreement (between 10:00 AM – 8:00 PM). Setup and breakdown must occur within this time frame. The building must be vacated by 8:00 PM, no exceptions. Blackout dates apply.

Decorations: No nails, screws, tape, or adhesives may be used on walls, doors, or ceilings. Confetti, glitter, or rice is not permitted. All decorations must be removed immediately after the event.

Noise and Conduct: Music and noise levels must comply with local noise ordinances. The renter is responsible for the behavior of all guests. Disorderly conduct, loud profanity, or property damage will result in forfeiture of the deposit and possible fines. In the event of a dangerous situation or any major incident IMMEDIATELY call 911, the HOA representative, and file an incident report.

Food and Beverages: Food and beverages are permitted in designated areas only. The rental space includes a food service area with a refrigerator and microwave. Alcohol is NOT permitted.

Cleaning Requirements: All trash must be bagged and placed in designated outdoor bins. Floors should be swept, and surfaces wiped down. All rented tables, chairs, and equipment must be removed by the end of the rental period. The HOA is not liable for items left behind. Please be aware the items will be discarded if left.

Parking and Access: Parking is permitted in designated areas only. Fire lanes and handicap spaces must remain clear. Doors should not be opened unattended.

Prohibited Activities: Smoking and vaping are not allowed inside or within 25 feet of the building. Open flames are prohibited. No pets are allowed inside the facility (service animals permitted).

Inspection: HOA staff or representatives may inspect the facility before, during, and after events. Any violation of these rules may result in immediate termination of the event without refund.

No Pool Privileges: No pool privilege come with the reservation of the clubhouse. (That is, NO usage of the pool by renter or guest of community center. Failure to comply with this will result in loss of amenities privileges for 12 months.)

Mirror Lake Community Center Rental Agreement

Completion of this Agreement acknowledges receipt of the Mirror Lake Community Center Rules & Regulations document and agreement to abide by all policies and procedures contained therein.

Eligibility & Reservations(Required)

Rentals are available only to homeowners in good standing with the HOA.

Reservations are to be made via Mirror Lake Community Association under the eforms tab for Northwoods Community Center Rental

Reservations will be accepted on a first-come, first-served basis.

Once approved, usage fees and damage/theft deposit will be posted to homeowner’s account. Payment must be made in full within 3 days of reservation approval or reservation will not be held.

Rental Options & Fees(Required)

Total Fees (Usage and Damage/Theft Deposit) are $750

– $350 refundable Damage/Theft Deposit. Damages and / or theft in excess of $350 will be charged to your ML homeowner account and must be settled before further access to any amenities will be available. – $400 non-refundable Usage Fee for up to 4 hours of rental. Additional event hours may be rented at $100 per hour and not to exceed 8 event hours. Usage fee includes one hour set up and one hour breakdown outside of event hours, utilities, insurance, supplies, cleaning and admin fee. For example: Event hours 1PM to PM usage fee is $400, access to the building will be from Noon to 5 PM.

Rental Hours

The Community Center is available for rental between the hours of 10:00 AM and 8:00 PM. This includes setup and breakdown and cleanup. All guests must vacate the facility by 8:00 PM. Blackout dates apply.

Facility Rules(Required)

Maximum occupancy is limited to 49 people, as determined by the Douglas County Fire Department.

Alcohol and illegal drug use are strictly prohibited on the premises.

No tables or chairs are provided; the renter is responsible for supplying them. Pool furniture may not be used

The rental includes a food service area equipped with a refrigerator and microwave.

Smoking and vaping are not permitted inside or within 25 feet of the building.

The renter must follow all Mirror Lake Community Center Rules & Regulations.

The renter must not take any furnishings, equipment or supplies etc. out of the community center.

Damage Deposit(Required)

Damage deposits will be refunded within 14 days after the event if no damage or theft has occurred and all terms are met.

If damage exceeds the deposit amount, the renter will be billed for the additional cost of repairs or replacement.

Cleaning(Required)

A cleaning fee is included in the usage fee. The renter is responsible for removing all decorations, trash, and personal items before leaving the premises.

Floors swept and surfaces wiped down.

Failure to do so will result in partial or full forfeiture of the deposit.

Liability(Required)

The renter assumes full responsibility for all people attending the event.

The HOA is not responsible for accidents, injuries, or loss of personal property.

The renter agrees to indemnify and hold harmless the HOA, its officers, and members from any claims or damages arising from use of the facility.

Cancellations(Required)

Cancellations must be made via email to mporter@premierassociationmanagement.com

Cancellations made at least seven (7) days in advance will receive a full refund.

Cancellations within 4-6 days will receive a 50% refund of your usage fee and the $350 damage/theft deposit.

Cancellations made less than seventy-two (72) hours before the event will result in forfeiture of the full usage fee. The $350 damage/theft deposit will be returned.

NO POOL PRIVILEGES(Required)

Pool Privileges are NOT included in Community Center rental. (This is NO usage of the pool by renter of community center or any of their guests. Failure to comply with this will result in loss of amenities privileges for 12 months.)

Additional Rules / Requirements(Required)

If the HOA becomes aware that an owner has become delinquent in payments after making a reservation, the event and the reservation will be canceled, and the fees returned to the homeowner.

Any homeowner found reserving the community center for a delinquent homeowner will be subject to losing their own amenities privileges for 12 months. Reservations are for homeowners only and the community center cannot be rented for a third party.

The community center must be reserved by a Mirror Lake Homeowner. The reserving homeowner must be present for the entirety of the event.

Cancellations made less than seventy-two (72) hours before the event will result in forfeiture of the full usage fee. The $350 damage/theft deposit will be returned. • In the event of a dangerous situation or any major incident IMMEDIATELY call 911, the HOA representative, and file an incident report.

Acknowledgement of Shut Down(Required)

MLCA may shut down any event at any time due to noise complaints, violation of rules or regulations, or safety concerns at the discretion of the Association or any of their representatives.

Mirror Lake Community Center – Damage/Theft Charge Agreement(Required)

The renter agrees to pay for the cost of all repairs made necessary by use of the property, including but not limited to damage to electrical, plumbing, walls, flooring, furniture, and appliances. The renter also agrees to be held liable for losses resulting from theft, vandalism, or misuse of HOA property. Any damage discovered will be documented, and repair or replacement costs will be deducted from the renter’s deposit. If costs exceed the deposit, the renter will be billed for the difference and agrees to remit payment promptly. Renter acknowledges that failure to report pre-existing damages prior to event start time may result in liability for said damages.
